Managing Files: Copy, Move, and Delete
Learn how to copy, move, and delete files in VAULO - either via drag & drop, through the context menu (right-click), or using the Lightbox for simultaneously editing multiple files from different folders. Basic knowledge of navigating the VAULO Digital Asset Management System is required.
Copying, moving, and deleting files in VAULO
In VAULO, you have two ways to manage files: via drag & drop or through the context menu (right-click). For simultaneously editing multiple files from different folders, there is also the option to edit via the Lightbox.
Copy, Move, or Delete a Single File
Via Drag & Drop
Click on the desired file and hold the mouse button.
Drag the desired file to the target folder.
Release the mouse button - the file is automatically moved.
Via Right-Click (Context Menu)
Right-click on the desired file.
A context menu opens - with the following options, among others:
- Copy - creates a copy of the file in the desired target folder
- Move - moves the file to the desired target folder
- Delete - permanently removes the file
Manage Multiple Files Simultaneously (Bulk Action)
If you want to copy, move, or delete multiple files at once, use the multi-select feature.
Select multiple files by:
- Clicking each file individually while holding Ctrl (Cmd on Mac).
- Holding Shift and clicking the first and last file of a range – every file in between is selected automatically.
- In list view, simply clicking a file once a selection is already active.
- Using the "Select all" button to select all files in a folder.
Press Escape to clear the entire selection.
As soon as more than one file is selected, our Lightbox automatically opens at the bottom of the screen. The following actions, among others, are available in the Lightbox:
- Label and Rating – set directly in the Lightbox, no dialog needed
- Copy and Move
- Delete
- Add to collection
- Export filenames
- Download
- Add to presentation
- Share – creates a shared link for the entire selection

Click on the desired action and confirm it.
Deletion is permanent - deleted files cannot be automatically restored. Make sure you have selected the correct files before confirming the action.
Permissions: every action requires the appropriate access rights in VAULO. If you're missing the required permission for some files in a selection, only those files are silently skipped – the action still runs for the rest.
