Data Studio: Configuring Your Organization's Metadata

Data Studio is active by default for your organization and is the central place where you configure every metadata topic – from custom fields and groups to required fields and import formats. You'll find it under Settings → Add-Ons → Data Studio.

The add-on is organized into several tabs, explained in order in this article:

Custom Metadata

In the first tab, you manage all metadata fields in your organization – both the fields you've created yourself and the built-in standard fields. Clicking the Feld hinzufügen (Add field) button opens the Metadatenfeld hinzufügen (Add metadata field) dialog, where you define the field type, name, and other properties of the new field.

The same tab also lets you assign organization-wide field aliases: this replaces a field's default label (whether it's a standard field or a custom one) with your own display name. The alias applies everywhere in VAULO – including filters, required fields, import bundle mappings, and the metadata sections of the Datei-Detailansicht (file detail view).

Metadata Groups

In the Metadaten-Gruppen (Metadata Groups) tab, you combine several metadata fields into a block that's displayed together – for example, to group related fields under their own heading in the Datei-Detailansicht. The button in this tab opens the Metadatengruppe erstellen (Create metadata group) dialog, where you name the group and select the fields it should contain.

Required Fields

The Pflichtfelder (Required Fields) tab consists of two areas:

• Pflichtfelder festlegen (Set required fields) – a searchable field picker lets you determine which metadata fields must be filled in when a file is uploaded.
• Pflichtfeld AI-Assistent (Required field AI assistant) – uses VisionAI to automatically suggest values for missing required fields. If VisionAI isn't subscribed in your organization, this area shows an upsell notice with the buttons VisionAI freischalten and VisionAI erwerben instead.

The required fields you've set can be reordered via drag and drop. The order you choose is saved and determines the order in which the fields later appear in the Pflichtfelder ausfüllen (Fill required fields) dialog – exactly where users complete missing required information during upload. A sensible order (for example, the most important or most frequently needed fields first) lets you tailor that follow-up dialog to your upload workflow.

Asset IDs

In the Asset IDs tab you give every file in your organization a short, speakable identifier – for example 000042 or 260901-F4KRM. An Asset ID like that can go into an invoice, be read out over the phone, and be typed into the search box, which a filename – let alone an internal ID – cannot do.

You pick the format there, start the assignment, and then find the identifier again in the File details, on the file cards, in the sorting dropdown, and in search.

Import Bundles

In the Import-Bundles tab, you configure ZIP+XML sidecar formats for metadata import: an import bundle defines which XML file inside a ZIP archive contains the metadata and how its fields map to VAULO fields.

Two additional settings are available for individual field mappings:

• Keyword separators – for mappings to a keyword field, a multi-select lets you choose which characters (e.g. comma, semicolon, space, or a custom character) split a single string into multiple keywords during import. This lets you cleanly split even inconsistently formatted source data into individual keywords.
• Decimal separator – for mappings to a numeric field, you specify whether values in the source data use a period or a comma as the decimal separator, so they're interpreted correctly as numbers during import.

To test an import bundle beforehand without actually importing files, use the Beispiel-ZIP ablegen (nur Vorschläge) (Drop sample ZIP – suggestions only) area: drop a sample ZIP file here and VAULO suggests matching field mappings – the file itself is not imported.

Violations

The Verstöße (Violations) tab isn't an active feature yet. It currently shows only a placeholder with the "Coming soon" badge: in the future, this will display a report showing which files are missing required metadata.
