LegalAgent: Notifications Before a Usage Period Expires

Set up automatic email notifications in Legal Hub before a file's usage period expires, and review the notification history.

LegalAgent is part of Legal Hub and automatically notifies you by email before a file's usage period expires. You set the usage period for each file in the Usage notes block of the detail view.

Configuring notifications

Open Legal Hub (waffle menu) → SettingsLegalAgent section.

Under Notification addresses, enter one or more email addresses the report should be sent to.

Under Days in advance, set how many days before the usage period expires the notification should be sent (default: 30 days).

Click Save.

As soon as at least one address is configured, VAULO regularly checks which files expire within the configured window and sends a combined report to all configured addresses.

Use Deactivate to remove the configuration entirely – no further notifications will be sent afterward.

Notification history

The History section shows all reports sent so far, each with its date, the number of affected files, and the recipient addresses. Click an entry to see the files included in the report along with their expiry date.
